# Broadcasts: Send Bulk Campaigns Across All Channels

> Send bulk campaigns across Messenger, WhatsApp, and more in ChatbotX — schedule messages, filter your audience, and track delivery and click metrics.

**Broadcasts** is ChatbotX's bulk messaging feature that lets you send the same content to multiple contacts at the same time across various channels. Instead of messaging each person individually, you set up the content once and send it with just a few clicks. Broadcasts are ideal for remarketing campaigns, periodic newsletters, product updates, and important notifications to a targeted customer segment. When you need automated message sequences that go out over days or weeks rather than a one-off send, refer to the **Sequences** article instead.

## Broadcasts List Interface

The **Broadcasts** page is your central hub for managing all bulk messaging campaigns. From here, you can monitor the performance of every sent or scheduled campaign.

You can search for a specific campaign by name using the **Enter name** box at the top left. The campaign list displays the following metrics:

| `Channel`            | Messaging channel used (Messenger, WhatsApp, Zalo OA…)                       |
| `Status`             | Current state: `Sent`, `Scheduled`, or `Sending`                             |
| `Estimated Contacts` | Estimated number of contacts who will receive the message                    |
| `Sent`               | Actual number of messages sent out                                           |
| `Delivered`          | Number and percentage of messages successfully delivered to customer devices |
| `Seen`               | Number and percentage of customers who opened and viewed the message         |
| `Clicked`            | Number and percentage of customers who clicked links or buttons              |
| `Failed`             | Number and percentage of messages that failed to send                        |
| `Scheduled At`       | Date and time the campaign was or is scheduled to send                       |
| `Actions`            | Operations such as duplicate, edit, or delete the campaign                   |

## Create a Broadcast

    From the left menu, select **Broadcasts**, then click **+ Create Broadcast** in the top-right corner.

  <Step title="Select a sending channel">
    On the **Choose Channel** screen, select one channel for this campaign:

    | Channel         | Description                                                                     |

    | **Omnichannel** | Send an automated script to all contacts across every connected channel at once |
    | **Messenger**   | Send messages through Facebook Messenger                                        |
    | **WhatsApp**    | Send messages through WhatsApp Business                                         |
    | **Zalo OA**     | Send messages to users following your Zalo Official Account                     |
    | **Instagram**   | Send messages through Instagram Direct                                          |
    | **Telegram**    | Send messages through Telegram Bot                                              |
    | **TikTok**      | Send messages through TikTok Business                                           |

    After selecting a channel, click **Continue**.

    Set up the message content specific to the channel you selected. For Messenger and WhatsApp, you will also choose a sending type (see the channel-specific sections below).

    Choose when to send the campaign — immediately or at a specific future time.

    Configure contact filters to target the right customer segment.

    Check the estimated receiver count, then click **Confirm** to launch or schedule the campaign.

## Configure Schedule and Contact Filter

Every broadcast channel shares the same two settings for timing and audience targeting.

### Schedule — Sending Time

| Option                 | What happens                                                                       |
| ---------------------- | ---------------------------------------------------------------------------------- |
| **Now**                | The system sends the messages immediately after you confirm the campaign           |
| **Schedule for later** | Choose a specific date, time, and timezone to send the campaign at a future moment |

<Tip>
  Use **Schedule for later** to prepare content in advance and deliver it during peak hours when open rates are highest for your audience.
</Tip>

### Contact Filter — Receiver Target Filters

| Option                                | Logic                                         | Best for                         |
| ------------------------------------- | --------------------------------------------- | -------------------------------- |
| **Match all the conditions below**    | AND — contact must meet every condition       | Narrow, highly specific segments |
| **Match one of the conditions below** | OR — contact must meet at least one condition | Broader audiences                |

Click **+ Add Condition** to add filter criteria based on attributes such as Tag, Custom Field, active channel, or last interaction time. The system automatically calculates and displays the number of matching contacts in the **Receivers** section at the bottom of the screen.

<Warning>
  Always review the **Receivers** count before confirming. If it shows 0, check your filter conditions or channel configuration. Sending a campaign with 0 receivers means no one will be reached.

## Messenger Broadcasts

ChatbotX provides 2 sending types for Messenger Broadcasts.

### Type 1: Template Message

Use **Template Message** when you need to message customers who are outside the 24-hour interaction window — for example, old contacts who have not messaged your page recently.

| **Flow / Template**              | Choose **Flow** to send a standard chatbot script, or **Template** to send a Meta-approved utility template |
| **Messenger Channel**            | Select the Facebook Page to send from                                                                       |
| **Flow ID / Messenger Template** | Select the specific chatbot script or message template                                                      |

### Type 2: Messenger Active Contacts

Use **Active Contacts** when you only want to send messages to customers who have interacted with your chatbot **within the last 24 hours**. This type only supports Flow scripts (not templates) and is ideal for promotional messages, discount codes, and direct sales content — because Meta allows unrestricted content within the 24-hour window.

<Warning>
  **Meta 24-hour policy:** When a customer messages your Fanpage, you have 24 hours to send unrestricted messages including promotional content. After that window, you may only send pre-approved **Utility Templates**. Do not include promotional content in utility templates. Meta's automated systems monitor for violations and can permanently block your Fanpage from sending messages.

## WhatsApp Broadcasts

ChatbotX provides 2 sending types for WhatsApp Broadcasts.

### Type 1: Template Message (Outside 24 Hours)

Use this type to send messages to customers outside the 24-hour interaction window using a Meta-approved message template. The configuration interface includes:

* **Flow / Template** — choose Flow (chatbot script bundled with a template) or Template (standalone approved template)
* **WhatsApp Channel** — select the WhatsApp phone number to send from
* **WhatsApp Template** — select the synced template from the dropdown
* **Variable mapping** — fill in values for `{{1}}`, `{{2}}`, and other dynamic variables
* **Preview** — preview the final message layout including buttons before confirming

### Type 2: Active Contacts Within 24 Hours

Use this type to send free-form Flow scripts to customers who have an active chat session within the last 24 hours. Only Flow scripts are supported — templates are not available for this type. You can freely send product consultations, answers, promotions, or care scripts within the active session.

<Note>
  Active contacts within 24 hours only delivers successfully to contacts with an open chat session. For customers silent for more than 24 hours, you must use Template Message instead.
</Note>

## WhatsApp Message Templates

To message customers outside the 24-hour window, WhatsApp requires pre-approved message templates to prevent spam. Templates contain fixed content with dynamic variables (`{{1}}`, `{{2}}`, and so on) that automatically populate customer-specific information.

### Template Categories

| Category           | Use for                                                                                                                    |
| ------------------ | -------------------------------------------------------------------------------------------------------------------------- |
| **Utility**        | Transactional messages — order updates, appointment reminders, account notifications directly related to a customer action |
| **Marketing**      | Promotional content — offers, product ads, discount campaigns, commercial customer care                                    |
| **Authentication** | OTP codes and two-factor authentication verification messages                                                              |

### Create and Submit a Template for Approval

    Go to **Settings → Channels tab → WhatsApp → Manage** next to the number you want to configure.

  <Step title="Open the template list">
    Select the **Message Templates** tab. Click **Synchronize** to pull already-approved templates from Meta, or click **Manage** to open the Meta management interface.
  </Step>

  <Step title="Create the template on Meta">
    On Meta's WhatsApp Manager, click **Create template** and fill in:

    * **Category** — Marketing, Utility, or Authentication
    * **Template name** — use only lowercase letters and underscores (for example, `order_delivery_update`)
    * **Content** — draft the message body (up to 1,024 characters); add variables and call-to-action buttons as needed
  </Step>

  <Step title="Submit and sync">
    Click **Submit** for Meta to review. Once the status changes to `APPROVED`, return to ChatbotX and click **Synchronize** to make the template available for broadcasts.
  </Step>

### Tips to Avoid Template Rejection

* Do not place dynamic variables at the very beginning or very end of the message.
* Do not place two dynamic variables immediately next to each other (incorrect: `{{1}}{{2}}`).
* Number variables sequentially from 1 using the correct double curly brace syntax (`{{1}}`, `{{2}}`).
* Call-to-action button URLs must not contain direct `wa.me` links.
* Template content must not completely duplicate the wording structure of a previously approved template.
* Avoid vague, very short, or unclear language.
* Fix any spelling or grammar errors before submitting.

## Campaign Naming Tips

Use a consistent naming convention across all broadcasts so you can identify and track campaigns quickly in the list. A recommended format is:
